Welcome to The Core Room. By booking, attending, participating in classes, purchasing memberships or class packages, opting into SMS communications, or utilizing any services provided by the studio, you acknowledge that you have read, understood, and agreed to the following Terms & Conditions and Studio Policies.
1. Memberships & Billing
Membership Commitment
All memberships require a minimum three (3) month commitment.
Auto-Renewal
All memberships automatically renew monthly on the original purchase date unless canceled in accordance with the cancellation policy below.
Cancellation Policy
Membership cancellations must be submitted in writing via email to info@thecoreroommi.com and include at least thirty (30) days’ notice prior to the next billing cycle. Failure to provide proper notice may result in an additional billing cycle charge.
Membership Pricing Changes
The Core Room reserves the right to adjust membership pricing, rates, or fees at any time. In the event of a pricing increase, members will receive at least sixty (60) days’ notice prior to the new pricing taking effect. Notice may be provided via email, website announcement, booking platform notification, text message, or other electronic communication. Members will have the option to cancel their membership prior to the effective date of the pricing change in accordance with the studio’s cancellation policy.
2. Membership Freeze Policy
Memberships may be frozen with written notice submitted at least thirty (30) days prior to the next billing cycle. Memberships may be frozen for a maximum of two (2) months per calendar year. All freezes require management approval. Extended freezes may be considered on a case-by-case basis at management discretion.
3. Class Pack Policy
All class packs are non-refundable and expire within a designated timeframe based on package type. 10 Class Packs expire three (3) months from purchase date. Any class pack larger than 10 classes expires six (6) months from purchase date. Unused classes do not roll over and automatically expire after the designated expiration period.
4. Refund Policy
All sales are final. The Core Room does not provide refunds for membership purchases, membership payments during minimum commitment periods, class packs, workshops or events, retail purchases, late cancellation or no-show fees, or any other studio purchases or services.
5. Class Cancellation & No-Show Policy
Clients may cancel classes up to twelve (12) hours prior to scheduled class time without penalty. If a client with a limited membership or class pack late cancels or fails to attend, the client will lose the class credit. If a client with an unlimited membership late cancels or fails to attend, a $20 late cancellation/no-show fee will be charged.
6. Studio Etiquette
To maintain a respectful, welcoming, and safe environment for all clients, grip socks are required for all classes. Clients are expected to wipe down equipment after use, keep phones silenced and minimally used during class, and respect instructors, staff, fellow members, and studio property. Disruptive, unsafe, disrespectful, or inappropriate behavior may result in suspension or termination of studio access without refund.
7. Arrival & Late Policy
We encourage all clients to arrive on time. If it is your first class, we recommend arriving 10–15 minutes early for a brief studio introduction and equipment orientation. Late arrivals may not be permitted into class if arrival disrupts the experience or compromises safety.
8. Photography & Media Policy
Photography and videography are strictly prohibited during women-only classes. During general public classes, occasional photography, videography, or marketing content may be captured within the studio for promotional or social media purposes. Clients who do not wish to appear in media content may notify studio staff, and reasonable efforts will be made to accommodate those requests. Clients filming personal content must respect the privacy of others, primarily film themselves whenever possible, and keep filming minimal and non-disruptive. The Core Room reserves the right to limit or prohibit filming at any time.
9. Playroom Lounge / Child Policy
Parents or guardians utilizing the playroom lounge or child-related spaces must remain inside The Core Room at all times while their child is present, be available if their child requires assistance or attention, and keep children home if they are sick, contagious, or symptomatic. Staff will not change diapers, feed children, administer medication, or assist with restroom use. The Core Room reserves the right to refuse playroom access if a child appears ill or unsafe to participate.
10. Minor Participation Policy
Participants under the age of 18 must have parent or legal guardian consent and have a signed waiver completed by a parent or legal guardian prior to participation.
11. Personal Hygiene & Illness Policy
To maintain a healthy environment for all clients and staff, clients who are sick, contagious, symptomatic, or experiencing fever, vomiting, flu-like symptoms, or other communicable illnesses should not attend class. Clients are expected to maintain appropriate personal hygiene while attending the studio. The Core Room reserves the right to deny participation to any client displaying signs of illness for the safety of the community without refund.
12. Schedule Changes & Instructor Substitutions
Class schedules, instructors, services, and programming may occasionally change without notice. While The Core Room works diligently to maintain consistency and communicate updates whenever possible, instructor substitutions and last-minute scheduling changes may occur at the discretion of the studio.
13. Studio Closures
The Core Room reserves the right to temporarily close due to maintenance, weather, holidays, emergencies, or operational needs. Reasonable efforts will be made to provide notice whenever possible.
14. Right to Refuse Service
The Core Room reserves the right to refuse service, remove clients from class, and suspend or terminate memberships or studio access for violations of studio policies, unsafe behavior, harassment, repeated disruptions, inappropriate conduct, or behavior deemed harmful to the studio environment or community.
15. SMS/Text Messaging Terms
By providing your mobile phone number and opting into text communications from The Core Room, you agree to the following SMS Terms & Conditions.
Program Description
By opting in, you agree to receive recurring automated text messages from The Core Room (“we,” “us,” “our”) at the mobile number you provided. Messages may include appointment and class reminders, membership or billing notifications, account alerts, schedule updates, promotional offers or marketing messages, customer support follow-ups, studio announcements, and event updates. Consent to receive text messages is not a condition of purchase.
Message Frequency
Message frequency may vary depending on your interactions with the studio, bookings, memberships, promotions, and account activity.
Message & Data Rates
Message and data rates may apply. Charges are billed by and payable to your wireless carrier. Please contact your provider for details regarding your messaging or data plan.
Opt-Out & Help Instructions
You may unsubscribe from SMS communications at any time by replying STOP to any message sent by The Core Room. After replying STOP, you will receive a one-time confirmation message and no further SMS messages will be sent unless you opt in again. To rejoin, sign up again through the original opt-in method or reply START. For assistance at any time, reply HELP to any message or contact us directly at info@thecoreroommi.com.
Carrier Liability Disclaimer
Wireless carriers are not liable for delayed or undelivered messages.
Privacy
Information collected through SMS communications is subject to The Core Room’s Privacy Policy. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Changes to SMS Terms
The Core Room reserves the right to modify these SMS Terms or discontinue the SMS messaging program at any time without prior notice.
16. Policy Updates
The Core Room reserves the right to modify these Terms & Conditions and Studio Policies at any time. Updated policies may be posted on the website, booking platform, social media platforms, text message communications, or communicated electronically. Continued participation in studio services after updates constitutes acceptance of revised policies.
